What data we collect

  • Account information: Name, email address, firm name, and password (stored securely hashed).
  • Will documents: PDF documents you upload for proofing. These are processed by our AI engine and stored securely.
  • Proofing reports: The reports generated from your documents.
  • Usage data: Number of proofs run, timestamps, and subscription status.
  • Technical data: IP address, browser type, and device information collected automatically for security and performance.

How we use your data

  • To provide the WillProof service, including AI-powered Will proofing.
  • To manage your account and subscription.
  • To communicate with you about your account or the service.
  • To improve our service and ensure security.

Legal basis for processing

We process your data under the following lawful bases:

  • Contract: Processing necessary to provide the service you have subscribed to.
  • Legitimate interests: Improving our service, ensuring security, and preventing fraud.
  • Consent: Where you have given specific consent (e.g. marketing communications).

Document handling

Will documents uploaded to WillProof are:

  • Transmitted securely via HTTPS/TLS encryption in transit and encrypted at rest in storage.
  • Processed by our AI provider (currently Anthropic Claude) solely for the purpose of generating your proofing report. Document contents are not retained by the AI provider after processing is complete.
  • Stored in encrypted Azure cloud storage (hosted in France, EU), accessible only to your firm’s account.
  • Never shared with other users, sold to third parties, or used for AI model training or improvement.

Where document contents are transmitted to our AI provider for processing, this transfer is conducted to the United States under the UK–US Data Bridge framework, which provides an adequate level of data protection as recognised by the UK Government. Our AI provider’s standard commercial API terms incorporate data processing provisions governing how your data is handled. You retain full ownership of all documents and reports at all times.

Data sharing and subprocessors

We do not sell your data. To deliver the WillProof service, we share data with the following subprocessors:

We never see or store your full payment card details. Stripe handles all payment processing in accordance with PCI DSS standards.

We will notify you of any material changes to our subprocessors by updating this policy.

Data retention

We retain your data for as long as your account is active. Upon account closure, we will delete your documents and personal data within 90 days, except where retention is required by law.

Your rights

Under UK GDPR, you have the right to:

  • Access your personal data
  • Rectify inaccurate data
  • Erase your data (right to be forgotten)
  • Restrict processing
  • Data portability
  • Object to processing
